Who we are:
This project is executed by UK Centre for Ecology & Hydrology (UKCEH), executed by UNEP and funded by the GEF.
UKCEH is an independent, not-for-profit research institute and is a registered Charity in England & Wales (number 1185618) and in Scotland (number SC049849), and a registered Company Limited by Guarantee in England & Wales (number 11314957).
UKCEH are the controllers for all processing of personal data for the purposes of communicating with you and reporting on demographic representation amongst workshop participants which is a necessity for the gender mainstreaming efforts of the project. The main UKCEH Privacy Notice is here.
Why are we collecting your information?
UKCEH (on behalf of the uPcycle project) initially collects the minimum amount of personal data in order to run workshops, form knowledge exchange community networks and to communicate with you. This Privacy Notice covers all the activities associated with project, including the Workshops and surveys.
*in this document the term ‘workshop’ may also refer to meetings or field trips carried out by the project.
The personal data about you that we may collect includes:
Name
Email address
Organisation/job title
Phone Number
Nationality
Gender identity
Ethnicity
Age group
The project is collecting demographic information (e.g. age group, ethnicity, gender etc.) in order to be able report on gender representation at workshops which will provide evidence of gender mainstreaming efforts and could further improve gender mainstreaming efforts throughout the project. Other demographic information is also asked so that gender representation reporting can be intersectional by also reporting on other aspects of equity, equality, diversity and inclusion.
Not all project participants will be asked for this information and those asked may choose not to consent to providing this information or select ‘prefer not to answer’.
The project will also collect additional information from project participants (e.g. opinions/experience on sustainable phosphorus methods) via survey, or informal interview or workshop.
The project may take photographs or videos at workshops but will always ensure participants have given consent for their use and are informed on how they will be used.
In data protection terms we are using the ‘lawful basis’ of ‘Consent’ for collecting, processing your personal data.
All data held by UKCEH is compliant with UK data protection legislation and the basis on which we process any personal data we collect from you, or that you provide to us, is covered by the UKCEH privacy notice.
This research has undergone ethical scrutiny to ensure that it is conducted in such a way as to protect your interests and is of a high standard. The Principal Investigator (PI) or a Project Manager will always tell you about the information they wish to collect from you and how it will be used, the PI will always get your consent before collecting and using your data in this research project.
How are we storing your information, and will we share it?
The personal data that we collect will be stored securely and complying with UK GDPR for as long as we may need to engage with you. We will then anonymise the personal information we hold about you.
Your sensitive data, if collected, (gender identity, ethnicity etc.) will be anonymised by linking your data with a participant number instead of your name. Any data shared in reports will be group summaries and percentages and therefore, individually collected data will not be visible. The participant number will be linked with your name in an isolated document stored separately and securely with minimal access from project members. This file will remain until the end of the project when it will be deleted. This is because participants may attend multiple workshops/meetings/field visits as part of the project, allowing the project to report on gender and demographic representation throughout the project, committing to our agreement on gender reporting with our Funder GEF.
Sharing your personal information
Your anonymised data is likely to form part of a research publication or conference presentation or public talk. The PI will not use any information that would identify you without obtaining your specific consent first.
Other than as set out above, and except where we have a legal obligation to so do, we will not share your personal data with anyone else, and we will always adhere to current UK Data Protection Legislation.
Your rights and legal purpose
The GDPR (General Data Protection) clearly defines individual’s rights for your data. We are collecting and processing this data under Consent. Your rights are as follows:

· you have the right to ask for your data to be deleted*
· you have the right to withdraw your consent at any time*

You also have the right to lodge a complaint with the Information Commissioner’s Office. You also have the right to an effective judicial remedy against decisions of the Information Commissioner’s Office.
Deletion of Data
Personal data will be stored until the end of the project. After this your anonymised data will be deposited included in project reports and may be archived in UKCEH IT systems and with UNEP for 3-5 years and may be accessed by other researchers.
Can I change my mind about taking part? - How to withdraw my data from the project
Yes. You can withdraw from the research project at any time. You just need to tell the research team by contacting Issy Lewis; isslew@ceh.ac.uk and request for your data to be deleted. Your data can be deleted upon request, however any data that has already been anonymised and reported will not be able to be removed.
Changes to the Privacy Notice for UKCEH
This Privacy Notice may be updated from time to time. The latest version will always be available by upon request via email (isslew@ceh.ac.uk) If significant changes are made to this Privacy Notice in the future, you will be emailed to be notified.
